Frequently asked questions
Straight answers to the questions that matter.
What we do, what an airline controls, how fees work, and how we handle the information behind a more complex trip.
General
What AeroAssist does, and where our role ends.
What does AeroAssist help with?
We research airline rules, compare workable options, organise passenger and equipment details, and coordinate agreed requests. We focus on journeys involving special assistance or unusual requirements rather than ordinary flight search alone.
Can you guarantee that an airline will accept my request?
No. We can present the case clearly and track the response, but the operating airline, airport provider, and relevant authorities make the final decisions. We will always distinguish a submitted request from a confirmed service.
Do you provide medical or legal advice?
No. We can identify where medical clearance, consent, immigration, or legal documents may be relevant, but qualified clinicians and official authorities must advise and decide on those matters.
How early should I contact you?
As early as practical, especially for animals, powered mobility equipment, medical clearance, complex connections, or children travelling alone. Short-notice cases can still be assessed, but options and response time may be limited.
Fees & pricing
Clear scope before chargeable work begins.
How much does the service cost?
Fees are quoted per case after a short intake because the work depends on route, urgency, number of airlines, and complexity. The quote explains what is included before you decide to proceed.
Are airline and airport charges included?
Not unless the quote says so. Airline tickets, unaccompanied-minor fees, animal charges, baggage, medical certificates, visas, and other third-party costs are normally paid separately.
Will urgent requests cost more?
An urgent-work fee may apply when research or coordination must be prioritised. We will disclose that before starting chargeable work, and urgency does not guarantee that an airline can respond or accept the request in time.
What happens if the airline declines?
Our advisory and coordination work may still be chargeable because the decision is outside our control. Where the agreed scope allows, we can explain the reason and assess alternatives before any further work is approved.
Airlines & policies
How requests, confirmations, and operational changes are handled.
Why do you need the operating airline?
The airline operating the aircraft often controls acceptance, even when another airline sold the ticket. This matters on codeshares because service, equipment, animal, and age rules may differ.
Is a special-assistance code proof of confirmation?
Not always. A code can show that a request was entered, but the responsible airline or provider may still need information or approval. We look for a clear response tied to the exact passenger and itinerary.
What if my flight changes?
Assistance, animal, equipment, extra-seat, and unaccompanied-minor arrangements should be rechecked on the new flight. Previous confirmation may not transfer automatically to a new operator or aircraft.
Does airport assistance include personal care?
Usually not. Assistance may support movement through the airport and boarding, but it does not normally include feeding, toileting, medication, restraint, or continuous supervision. Confirm exact boundaries with the airline.
Data & privacy
How to share only the information needed for a case.
Why do you ask for health or disability information?
We ask only for information relevant to describing the requested assistance or meeting a provider's requirement. You can ask why a field is needed before supplying it.
Should I upload documents in the first request?
The initial form should contain only enough information to assess the case. If documents are needed, we will identify the relevant pages and the appropriate way to provide them.
Can I see the information linked to my case?
Clients can use the portal when invited to view case status, outstanding items, and shared updates. The demonstration cases on this website are fictional and contain no customer data.
Can I ask for my data to be corrected or deleted?
You can contact AeroAssist with an access, correction, or deletion request. Some information may need to be retained for legal, accounting, dispute, or service-record obligations, which will be explained where applicable.
